Terms of Service
These Terms of Service ("Terms") govern access to and use of Workplume (the "Service"), an office and workplace-services ordering platform for companies, operated by Plumeware LLC ("Workplume", "we", "us", "our"). By creating an account, signing up a company, or using the Service, you agree to these Terms on behalf of yourself and, if applicable, the company you represent ("Customer").
1. Accounts and Company Workspaces
A company signs up for one workspace containing its employees, branches, orders, and internal tools. The person who creates the workspace is its initial administrator and is responsible for managing user access, roles, and permissions within that workspace. You are responsible for keeping login credentials confidential and for all activity under your account.
2. Subscriptions and Billing
- Every new workspace begins with a 14-day free trial, starting when the administrator confirms their email address. No card is required, and nothing is charged when it ends. The Refund Policy describes it in full.
- Workplume is offered on a subscription basis (monthly or annual), billed per active user according to the plan selected at signup.
- Orders are processed by Paddle.com. Paddle is the merchant of record for all purchases: Paddle sells the subscription to you, charges you, issues the invoice, and collects and remits any applicable sales tax or VAT. Your card statement will show Paddle rather than Workplume.
- Card details are entered in Paddle's own checkout and are never received or stored by Workplume. We retain only the last four digits and the card brand, to show you which card is on file.
- Subscriptions renew automatically at the end of each billing period unless auto-renewal is disabled or the subscription is cancelled beforehand.
- If a renewal payment fails, we may apply a grace period before suspending access to the workspace. Reasonable efforts will be made to notify the workspace administrator by email before suspension.
- Prices are shown in US dollars (USD). Any applicable taxes are calculated and added by Paddle at checkout, based on your location.
- We may change subscription pricing for new signups or renewals; changes affecting an active subscription will be communicated in advance.
3. Cancellation and Refunds
- Cancelling. A workspace administrator can cancel the subscription at any time from Settings → Subscription inside the app, or by emailing [email protected]. No notice period is required.
- What cancelling does. Cancellation stops future renewals. The workspace keeps full access until the end of the period already paid for; nothing is cut short on the day you cancel.
- Refunds. Because Paddle is the merchant of record, refunds are handled under Paddle's buyer terms, which include a refund window for recent purchases. To request one, email [email protected] or contact Paddle directly using the receipt they sent you.
- Beyond that window, we will consider refunds case by case — in particular where the Service was unavailable for a sustained period, or where a renewal was charged after a cancellation request we failed to action.
- Refunds are returned to the original payment method. Paddle processes them; the time to appear on a statement is set by your bank.
4. Acceptable Use
You agree not to use the Service to:
- Upload or transmit unlawful, defamatory, or infringing content;
- Attempt to gain unauthorized access to other companies' workspaces or data;
- Reverse engineer, resell, or sublicense the Service without our written consent;
- Interfere with the normal operation of the Service or its infrastructure.
5. Customer Data
Data you submit to the Service (orders, employee records, chat messages, attachments, expense claims, and similar workspace content) remains yours. We process it only to provide the Service, as described in our Privacy Policy. You are responsible for ensuring you have the right to submit any personal data of your employees or other individuals into the Service.
6. The Customer's Responsibilities Toward Its Employees
A workspace holds personal data about people who did not sign up for it themselves: the employees whose names, work email addresses, departments, orders, leave requests, expense claims, tasks and chat messages the Customer enters or asks them to enter. In data-protection terms the Customer is the controller of that data and Workplume is the processor, acting on the Customer's instructions.
The Customer is responsible for:
- having a lawful basis for putting its employees' personal data into the Service;
- telling those employees that the Service is used, what is recorded in it, and who inside the company can see it — including that workspace administrators can read the workspace content listed above;
- handling requests from its own employees to access, correct or delete their data, and asking us for help where the request needs it (see the Data Processing Agreement);
- keeping its list of administrators current, and removing access when someone leaves.
Workplume does not use workspace content to profile or evaluate individual employees, and does not sell it. What administrators can see inside a workspace is a matter between the Customer and its employees, governed by the Customer's own policies and by the law where those employees work.
7. Service Availability
We aim to keep the Service available and reliable but do not guarantee uninterrupted access. The Service is provided on an "as is" and "as available" basis. Scheduled maintenance or third-party outages (hosting, payment processing, storage) may occasionally affect availability.
8. Suspension and Termination
We may suspend or terminate access to a workspace for non-payment, violation of these Terms, or suspected fraudulent or unlawful activity. A Customer may cancel their subscription at any time; cancellation takes effect at the end of the current billing period unless stated otherwise.
9. Limitation of Liability
To the maximum extent permitted by law, Workplume shall not be liable for indirect, incidental, or consequential damages arising from use of the Service. Our total liability for any claim relating to the Service is limited to the fees paid by the Customer in the three (3) months preceding the claim.
10. Changes to These Terms
We may update these Terms from time to time. Material changes will be reflected by an updated version number and date above, and active users may be asked to re-accept the Terms before continuing to use the Service.
11. Governing Law
These Terms are governed by the laws of the State of Wyoming, United States, without regard to conflict-of-law principles, unless otherwise agreed in writing between Workplume and the Customer.
12. Who You Are Buying From, and How to Reach Us
Workplume is operated by Plumeware LLC, a limited liability company registered in Wyoming, United States. Questions about these Terms, about your subscription, or about a refund can be sent to [email protected], and we aim to reply within one business day. Formal or legal notices go to [email protected].
Purchases are sold and invoiced by Paddle.com as merchant of record. Billing questions can also be taken directly to Paddle using the receipt they email you, and Paddle's buyer terms are at paddle.com/legal/checkout-buyer-terms.
